Between deciding to race and that half-second of silence sit a club membership, a licence, a log book, a portal profile, an entry paid in full, a signed declaration and a scrutineer’s signature. Miss one and you watch from the fence. Everything below is that list, in the order it actually happens.

Club membership

Your Motorsport Australia licence is only valid while you are a current member of an affiliated car club. The ARDC is one — and ARDC members enter every round cheaper, book garages ahead of non-members, and pay member rates for private practice. Competitor membership is $175 a year, $130 concession.

Competition licence

Two bodies licence car competition in Australia — Motorsport Australia and the Australian Auto-Sport Alliance. For wheel-to-wheel racing under a Motorsport Australia permit you need a Circuit licence: the licence lecture, a medical examination, and an Observed Licence Test. Your first licence runs provisional until you complete three circuit race events to the Clerk of Course’s satisfaction.

Vehicle log book

The car is registered separately from the driver. Its Motorsport Australia log book carries the identity, the specification and the audit history, and it must be produced at the event — failure to produce a log book carries a $55 penalty and can cost you the right to compete. Log book and admin checking are handled at Friday practice, 10:00–15:00, at the Secretary of the Event’s office beneath Race Control.

Transponder & race number

Timing needs a MYLAPS TR2 transponder, which you supply — hire one during the entry process or buy direct. Separately, a MYLAPS X2 RaceLink race-control unit is mandatory for any track activity at Sydney Motorsport Park. That unit is ARDC property, carries no charge, has no regulatory implication, and is collected and returned daily to the Main Office at the base of the Control Tower. It costs $1,100 to replace if it is not returned.

Entry, payment & declarations

Entry closes ten days before the event and is only an entry once it is paid in full, by card. You will confirm a Risk Warning, Disclaimer and Indemnity and a Statement of Vehicle Compliance, and add garage, carport, private practice or extra tickets as optional items. Then watch the clock: you have 12 hours to complete every disclaimer or the entry is withdrawn and any garage booking is released.

Gates open 06:00 off Ferrers Road; competitors already holding a tender pass and tickets use the Gate AA lane. The drivers briefing is compulsory and is held in the Hinxman Room on the first floor at the Race Control end of the pit building.

Six numbers that end weekends.

None of these are on the entry form. Every one of them has sent somebody home early, and every one is enforced by somebody whose job it is to enforce it.

One of Australia’s premier celebrations of historic touring cars, classic muscle cars and motorsport heritage returns to Sydney Motorsport Park. Entries are open through the ARDC Competitor Portal. Garages and carports for this round have already been allocated in discussion with each category, so there is no garage booking step during entry — allocations are published after entries close.

Scrutineering

Scrutiny runs under the Motorsport Australia Targeted Scrutiny process. You sign a Statement of Vehicle Compliance at entry; the Chief Scrutineer then selects which vehicles are audited and advises those competitors of an audit time. No car runs without a scrutineer’s sticker.

Supersprint rounds run a different administrative shape to race meetings: entries are capped at 120 drivers plus 10 reserves, there are no in-person document checks, and championship registrants get a preferential entry window ahead of general opening. Supersprint entries are taken through the Motorsport Australia event entry system, not the ARDC portal.

The Day/Night round is the one weekend a year the circuit runs deep into the evening under lights. Circuit operating hours extend to 22:30 when night activity is scheduled — every other day the track closes at 18:00.

Membership, licence, log book, profile, entry, declarations, scrutineering — seven gates, and most of them are done once. What is on the other side is a grid, a set of flags, and a number that is yours for the season.

Before you enter

The questions the race office answers every week.

No. What the regulations require is current membership of a Motorsport Australia-affiliated car club — the ARDC is one, but so are many others, and your licence is only valid while you hold one. What ARDC membership buys is money and priority: $495 instead of $565 for a sprint entry, $595 instead of $665 for an enduro, $280 instead of $340 for a Friday practice day, and the right to book a garage rather than merely request one. Two entries and a practice day and it has paid for itself.

Entries open once the supplementary regulations are approved — they cannot legally open before that. Closing is typically ten days before the event, with an earlier early-discount deadline about a week ahead of it. Late entries may be accepted at the organiser’s discretion with a $100 surcharge. Both deadlines are published in the round’s supplementary regulations and shown on the countdown at the top of this page.

An entry only counts once it is paid in full, by credit card. On submission you receive a confirmation email and a QR code, which you present at Admin Check-in. You then have 12 hours to complete every disclaimer — if that lapses, the entry is withdrawn and any garage booking is released. If you have no confirmation email, check your junk folder first, then call the Race Secretary’s office on 02 9672 0223.

Withdrawals must be in writing no later than 17:00 on the Monday of event week, and a $50 administration fee applies to every withdrawal. Miss that deadline and refunds are not considered. There is one additional provision: if a mechanical failure during Friday private practice prevents you racing and you advise before 20:00 that evening, a 50% refund of the race entry applies.

For timed sprint events — supersprints, regularity — a Motorsport Australia Speed licence is enough. For wheel-to-wheel racing you need a Circuit licence, which requires the circuit race licence lecture, a medical examination and an Observed Licence Test. Your first Circuit licence runs provisional until you complete three circuit race events to the Clerk of Course’s satisfaction. Australia also has a second sanctioning body, the AASA, whose Club Racing and National Racing licences apply at AASA-sanctioned events. Always check which body permits the event you are entering.

Sometimes. Exemptions apply if you have competed in five or more Motorsport Australia supersprint or regularity events in the past two years, or if you hold an Australian Karting Association Grade B licence or higher. Otherwise the OLT assesses driving style, ability and attitude, and is bookable at Sydney Motorsport Park. Assessors set their own fees — confirm the current price when you book.

Yes. Provisional licence holders and full licence holders appearing at Sydney Motorsport Park for the first time must report to the Assistant Clerk of Course’s office — first floor of the Control Tower, open from 07:30 — with their Motorsport Australia licence, at least 45 minutes before their first session. Build that into your morning.

For most log-booked cars the queue at a bay is gone. Scrutiny runs under the Motorsport Australia Targeted Scrutiny process: you sign a Statement of Vehicle Compliance during entry, you self-check against the scrutiny checklist, and the Chief Scrutineer decides which vehicles are audited — routinely every twelve months or every fourth meeting. No car runs without a scrutineer’s sticker. Note that presenting a car for scrutineering is itself deemed a statement that it conforms, and it is no defence to argue that a non-compliance gained you no performance advantage.

Two different things, and they get confused constantly. The TR2 transponder is yours to supply and is what times you — hire one during the entry process or buy direct from MYLAPS. The X2 RaceLink unit is a race-control device that is mandatory for any track activity at Sydney Motorsport Park; it is ARDC property, carries no charge, has no regulatory implication for Motorsport Australia, and is collected and returned daily to the Main Office at the base of the Control Tower. Fail to return it within two weeks and you will be invoiced $1,100. A hardwire charging cable is a one-off $20 purchase.

Gates open at 06:00 on all event days, off Ferrers Road via Gate A. Competitors who already have their tender pass and tickets ready use the Gate AA lane, which moves faster. If you have a garage or carport, bump-in is usually available from 18:00 to 22:00 on the Thursday. Trailers that are not fully enclosed have to be moved out of the paddock behind the garages to the designated trailer parking area, and the area directly behind the garages is not general parking.

Only with the paperwork done. Everyone in a restricted area — pit lane, the marshalling area — must have completed and submitted the risk disclaimer and collected a wristband from Race Control. Anyone without one is removed and sent to the Race Secretary’s office. Nobody under 16 is permitted in pit lane or the marshalling area unless they are competing, and the pit lane speed limit is 40 km/h.

The maximum noise limit at Sydney Motorsport Park is 95 dBA at 30 metres, and the EPA monitors and enforces it. Exceed it and your car is suspended until it is rectified; exceed it on two runs and it is excluded from the event, with non-conforming laps struck from the results. Wind direction and exhaust exit position both affect the reading. On camping: it is event-by-event rather than a standing facility, so contact the ARDC office for the round you are entering. Gas and wood-fuelled barbecues are not permitted anywhere on site.

Marshal the weekend.

Flag marshals, scrutineers, timekeepers and clerks are licensed volunteers, and every ARDC event is appointed by the club. If you want to be trackside without a race licence, this is the way in.
